We understand the
challenges.
It doesn’t have to be
so hard.
Managing a fleet, especially when you have employees using their own vehicles for work can feel like an endless administrative burden. Collecting MOT, tax, and insurance details over email, chasing individual drivers for updates, and verifying insurance policies are time-consuming and inefficient.
Are you relying on spreadsheets that are hard to maintain and full of errors? Mistakes can creep in, leaving you with outdated or incorrect information. Tracking MOT advisories, verifying insurance, and managing inconsistent documents can quickly spiral into a frustrating mess. Sound familiar?
At best, you may only be spot-checking your fleet. Why not get a complete handle on it with a smarter solution?

Driving responsibility.
A shared duty of care.
Employers have a legal duty of care to their employees to ensure they are provided with a safe working environment, including the provision of safe and roadworthy vehicles, regardless of ownership.
Verifleet helps your business stay compliant and efficient by tackling the challenges of managing employee vehicles and supporting employers in fulfilling their duty of care.

Take control of your grey fleet with ease and confidence.
Grey fleet vehicles are those owned and driven by employees for business purposes. Despite being privately owned, businesses still have a legal duty of care to ensure these vehicles are roadworthy and compliant.
Why does it matter?
With a growing number of employees driving their own cars for work, managing grey fleet properly is key. It’s about staying on top of safety, cutting risks, and keeping things running smoothly.

The scale of
grey fleet
With 14 million vehicles used for work and well over 50% of work mileage attributed to grey fleet, its significance is undeniable. Yet, managing it effectively remains a challenge for many businesses.

Increased risks
and liabilities
Many businesses overlook grey fleet responsibilities, leading to legal risks. Vehicles are often uninsured for business use or fail to meet safety and roadworthiness standards, exposing companies to significant liability.

Ageing and inefficient Vehicles
While many grey fleet vehicles are older, proactive management and maintenance ensure they remain safe and as environmentally responsible as possible.

Neglect of maintenance
and compliance
Regular checks on tyres, brakes, and insurance provide peace of mind for businesses. With proper oversight, grey fleets can operate as safely and effectively as company-owned vehicles.
Staying on top.
MOTs, tax, insurance, and vehicle maintenance are non-negotiables when it comes to grey fleet management. With Verifleet, you can streamline these processes effortlessly, ensuring potential issues are caught early before they escalate into dangerous situations. Verifleet helps keep vehicles legally compliant and safe, protecting both employees and your business.

When are tax and
MOT due?
Vehicles require an MOT annually starting from the third anniversary of their registration date, while road tax is mandatory from the time they are first registered. Driving without an MOT can result in fines of up to £1,000, while untaxed vehicles can incur penalties of up to £1,000 or five times the annual tax amount. In both cases, vehicles may also be seized.

Are your drivers properly insured?
Using a vehicle for business without the right insurance can invalidate your policy, making you effectively uninsured. It’s a criminal offence in the UK, carrying fines, penalty points, or even a driving ban of up to 12 months. Beyond legal and financial risks, it can also harm your business’s reputation and operations.

Are your vehicles checked and maintained?
Between November 2023 and 2024, over 2 million vehicles failed an MOT due to tyre-related defects, with more than a third previously flagged for issues+. Drivers risk fines of up to £2,500 and three penalty points per illegal tyre if problems go unchecked.
